Reserve a Room
Effective January 2, 2026: Waco-McLennan County Library will begin charging $20 per hour for meeting and conference rooms. This helps keep our spaces available, maintained, and welcoming for everyone.

How to Book a Room
Use the Reserve Now button to do the following:
- Check availability.
- Choose a location and space.
- Scroll to the date.
- Select your start time.
- Scroll down and choose your end time from the dropdown menu.
- Submit your request.
- Pay the fee online on the booking site.
- Booking is confirmed once payment is received.
- Unpaid requests may be released.
Key Details
- Minimum time block: 1 hour (fees rounded up)
- Set-up / Clean-up: Return the room to its original condition before your end time
- Capacity & Safety: Stay within posted capacities; exits must remain clear
- Equipment: Tables/chairs included. Limited A/V available, request at booking
- Food & Drink: Light refreshments allowed where permitted; no open flames or alcohol
- Cancellations / Refunds: Late cancellations or no-shows may forfeit fees
- Behavior & Use: Library rules apply. No commercial sales, fundraising for private gain, or disruptive activities
- Prohibited Uses: Campaign/election events, unlawful activity, or events presenting safety hazards
Quick FAQs
Q: Are there discounts for nonprofits or partners?
A: Certain partnerships or programs may qualify under existing agreements. Ask staff before booking.
Q: Can I come early to set up?
A: Access is only allowed during your reserved time. Please include enough time for setup and cleanup in your reservation.
Q: Can I advertise my event as sponsored by the Library?
A: No. All publicity must include your own contact info and this statement:
"This event is not endorsed or sponsored by the City of Waco."
Failure to include this may result in cancellation.
Q: What if my event runs over time?
A: Extra time may incur additional fees and could affect future booking privileges.
